How does a job application service work?
A job application service applies to jobs for someone else. The client brings a resume and a goal, and you bring the hours, the judgment and the follow-through.
Most services follow the same loop. You agree a brief with the client: target roles, locations, salary, and any companies to avoid. You then search for matching roles, tailor the resume or cover letter where it matters, and send a steady number of applications each week. The client attends the interviews and decides on offers.
The applying is the visible part. The hidden part is the admin around it: logging each application, reading confirmations and rejections from the client’s inbox, catching interview invites, and answering “any news?” messages. With five clients that can take hours a week. With twenty it becomes a second job.
SoundCV takes over that admin. Each client gets their own board, resumes, job search and tracking address, and the replies from employers move applications forward on their own. You spend your time on the applications themselves, and the client gets a clear record of the work.
The admin nobody pays you for
Job search agency owners tell the same story: the spreadsheet works for three clients and breaks at ten. These are the three places it breaks.
Every reply, logged by hand
Confirmation, assessment, interview, rejection. Each one is copied from an inbox into a sheet, for every client, every day. Miss one and the record is wrong.
“Any news?” from every client
Clients pay for effort they cannot see. Proving the work takes screenshots and summaries each week, and the time comes out of applying.
No idea what is working
Which resume version gets interviews? Why were the last ten applications rejected? A spreadsheet stores rows. It cannot tell you where to aim the next batch.
How to onboard a new job search client
Setting up a client takes a few minutes. After that, the board keeps itself current while you apply.
Add the client and their brief
Enter their name, email, target roles, locations, workplace, salary target, visa needs, a weekly target and any companies to avoid.
Build or upload a resume
Build a new resume from a template, or upload their PDF or Word file and we read it into an editable resume.
Forward their job emails
Each client gets a forwarding address. Add it to one Gmail filter or Outlook rule. We catch Gmail’s confirmation code for you.
Apply and let replies do the rest
Confirmations create applications, interview invites move them to Interviewing with the date, rejections are marked.
Everything your job search agency needs for each client
Pick a client in the top bar and every page is theirs: their board, their resumes, their jobs and their numbers. Switch clients and you stay on the same page.
Overview and pipeline
Applied, responses, interviews and offers at a glance, with the interview rate, rejections, applications with no reply for 21+ days, and a timeline of recent activity.
A Kanban board and a table
Drag applications between Saved, Applied, Interviewing, Offer, Accepted and Rejected, or switch to the table to sort and scan. Prepared Auto Apply applications sit in their own column.
Resumes built for the client
Build a new resume or upload theirs and edit it. Client resumes do not count toward your personal resume limit, and you can keep a version per role type.
Job search with the client’s filters
Search open roles with pay, job type, workplace and date filters, check the match against the client’s resume, and save a job straight to their tracker.
Auto Apply per client
The same engine job seekers use, set up for each client. It fills each employer’s form, writes a cover letter when asked, and waits for your Submit.
Saved answers that fill forward
Answer a question like “Are you willing to relocate?” once. It is saved to that client and filled into every waiting application that asks the same thing.
Starting with a new client? Check your resume score for their current resume first. The ATS check shows what to fix before a single application goes out.
Check a resumeHow to report progress to job search clients
Clients stay when they can see the work. SoundCV gives them two ways to see it, and neither needs you to write a word.
The weekly report is an email with this week’s applications against the weekly target, total applications, interviews and offers, the interviews coming up with date and company, and a link to the portal. Send it with one click, or turn on automatic sending every 7 days while the client is active. Replies come straight to you.
The client portal is a private, read-only link. Your client opens it on any phone, with no account and no password, and sees every application with its current status. If a link is shared too widely, create a new one and the old link stops working. You can also turn the portal off.
Together they replace the Friday status email and most of the “any news?” messages. A client who can check their own interview rate trusts the process more than one waiting for an update.
How to track applications for multiple clients
Choose “All clients” in the picker for the agency view. It answers the Monday question: which clients need attention this week?
Weekly target per client
See how many applications each client got this week against their weekly target, next to responses, interviews, offers and applications with no response. Clients behind target stand out before they notice.
One Needs review queue
When an employer email is unclear, it waits in Needs review instead of changing a status. Confirm or correct it in one click, across every client, from one list.
Follow-ups drafted for you
Applications with no reply get an AI-drafted follow-up email you can edit and send. It is written from the role, the company and the date the client applied.
Duplicate and avoid-list checks
SoundCV warns you before you log a second application to the same company for a client within 60 days. Auto Apply never applies to a company on the client’s avoid list.
Team roles for owners, managers and appliers
A job placement agency with a team needs clear lines: who sees which client, and who can change the agency itself.
Invite each person by email and give them a role. The owner runs the agency and its plan. A manager sees every client, assigns clients to team members and handles the Needs review queue. An applier sees only the clients assigned to them, so a new hire starts with a short, focused list.
Each client has an assigned team member and a notes field in their settings. Hand a client from one applier to another by changing one field, and the notes, saved answers and full history travel with them.
Owner
Creates the agency, holds the plan and credits, and can do everything a manager can.
Manager
Sees every client, assigns work to appliers and keeps the whole client list on track.
Applier
Sees and works only on the clients assigned to them, from jobs to reports.
Client
Sees their own portal and weekly report. Never needs a SoundCV login.

SoundCV vs recruitment agency software and spreadsheets
SoundCV is for applying on behalf of job seekers. It is not a staffing ATS, and it does not manage candidates for employers’ open roles.
| SoundCV agency workspace | Staffing ATS or CRM | Spreadsheet and inbox | |
|---|---|---|---|
| Built for | Applying for job seekers | Filling roles for employers | Anything, by hand |
| A separate board for each job seeker | One tab each | ||

| Candidate sourcing for employers |
If your business places candidates into roles for hiring companies and bills the employer, you need recruitment agency software or employment agency software built for staffing. If your client is the job seeker, and you are paid to get them interviews, the workflow is different: many employers, one person, and a record the client can see. That second workflow is what SoundCV is built for.
How many clients can you manage on the free plan?
Start with up to 3 active clients on the free trial. A paid SoundCV plan on the owner’s account raises the limit to 50 active clients, and clients you mark as placed never count. Auto Apply uses the owner’s credits: 5 per submitted application, refunded automatically if it could not be sent. Dedicated agency plans are coming soon.
See plans and creditsIs client data private?
Your clients trust you with their job search. The workspace is built so you never need more access than the job requires.
Email tracking works through forwarding. The client, or you on their behalf, adds one filter that sends job emails to a tracking address. SoundCV never sees a password and never reads the rest of the inbox. Only the emails the filter selects arrive.
Read more on our security page.
No inbox access
Forwarding sends only what the filter selects. No passwords, no mailbox login.
The minimum is kept
Sender, subject, a short snippet and what the email means. Not the full body.
Scoped by role
Appliers see only their assigned clients. Portal links can be replaced or turned off.
Delete means delete
Deleting a client removes their applications, Auto Apply and tracking address.
How to run job placement services clients trust
Software keeps the record straight. These habits keep clients getting interviews and renewing.
Write the brief before the first application
Agree target roles, locations, salary and companies to avoid on day one, and put them in the client’s settings. Every applier then works from the same brief, and Auto Apply never sends to a company the client ruled out.
Set a weekly target you can hit
Pick a number that leaves time to tailor each application, then show it in the report. A client who sees 20 of 20 each week trusts the process more than one who sees 80 generic applications with no replies.
Fix the resume before you scale the volume
Run the client’s resume through the free ATS resume checker and fix anything flagged. Then watch the interview rate on their overview. If one resume version gets interviews and another does not, retire the weaker one.
Clear Needs review every day
Unclear emails wait for a person on purpose. Five minutes each morning keeps every board accurate, and it means an interview invite never sits unseen in a busy client inbox.
Follow up on the applications that matter
Applications with no reply can get a drafted follow-up. Send the ones for roles the client cares most about. A short, polite note can move an application back into the interview pile.
Mark placements promptly
When a client accepts an offer, set their status to placed. They stop counting toward your client limit, their history stays for reference, and the slot opens for the next person on your waiting list.
Questions about running a job application service
How do job application services work?+
A job application service applies to jobs on behalf of a job seeker. The client shares a resume and a brief with target roles, locations and salary. The service finds matching roles, sends tailored applications, tracks employer replies, and reports progress each week. Interviews stay with the client, who attends them and makes the final decision on any offer.
How do I manage job applications for clients?+
Give each client their own board and keep every application on it, with the date, the role and the resume sent. In SoundCV you pick a client from the top bar and the whole workspace switches to them. Forwarded employer emails then move applications forward, so the board stays current without copying replies into a spreadsheet.
What software do reverse recruiters use?+
Many reverse recruiters start with a spreadsheet, a shared inbox and a job board. As the client list grows they move to a tool that keeps a separate pipeline per client, reads employer replies, and produces reports. SoundCV does those three things and adds Auto Apply, a job search per client, and resume building in the same workspace.
Can clients see their application status?+
Yes. Each client can have a private, read-only portal link that shows their applications, statuses and upcoming interviews. It needs no login and works on a phone. You can also email a progress report with the week’s numbers, sent on demand or every 7 days while the client is active. Replies to the report come to you.
How many clients can I manage on the free plan?+
The free trial covers up to 3 active clients. A paid SoundCV plan on the owner’s account raises the limit to 50 active clients. Clients you mark as placed do not count toward either limit, so finished searches never block a new one. Dedicated agency plans are on the way, and personal plans start from $1.99 a day.
Does SoundCV apply to jobs for my clients?+
SoundCV fills applications for your clients, and you or your team press Submit. Auto Apply reads each employer’s form for jobs with the Auto Apply badge, answers it from the client’s resume and setup, and writes a cover letter when asked. Each sent application uses 5 of the owner’s credits, refunded automatically if it could not be sent.
Is client data private?+
Each client’s data sits inside your agency workspace, and appliers see only the clients assigned to them. Email tracking uses a forwarding filter, so SoundCV never needs a password or inbox access. For each email it keeps the sender, subject, a short snippet and what the email means. Deleting a client removes their applications, Auto Apply and tracking address.
How do team roles work?+
An agency has three roles. The owner runs billing and the agency itself. Managers see every client and can assign work. Appliers see only the clients assigned to them, which keeps a large client list focused and private. You invite each team member by email, and you can set who owns each client in that client’s settings.
Can I use my own email to apply for clients?+
Use an address that belongs to the client, either their own inbox or one created for their search. Auto Apply puts the email from the client’s settings on each application, so employer replies reach that inbox. A single Gmail filter or Outlook rule there forwards job emails to the client’s tracking address, which keeps every reply on the right board.
Is SoundCV recruitment agency software?+
Not in the staffing sense. Recruitment agency software and employment agency software help firms fill roles for employers by managing candidates, jobs and placements. SoundCV works the other way round: it helps you apply for jobs on behalf of job seekers who pay you, and it tracks their applications, interviews and offers.
The agency workspace runs on the same tools job seekers use on their own. Each one works per client once you add them: the Auto Apply engine, the job application tracker, the AI resume builder and the cover letter builder.
