What is a job application tracker?

A job application tracker is one list of every job you have saved or applied to, with where each one stands today.

Most job searches involve dozens of applications across several job boards, company career pages, and recruiter messages. Without a tracker, you lose sight of which companies replied, which interviews are coming up, and which applications went quiet weeks ago.

A good job search tracker answers three questions quickly: what did I apply for, what happened next, and what should I do today. How it works

How the job application tracker updates itself

Setup takes about two minutes and happens once. After that, the job emails you already receive keep the board current.

Open the tracker and you will find your personal forwarding address waiting at the top. Copy it, then add one Gmail filter or Outlook rule that forwards job emails to it. In Gmail you can import a ready-made filter file instead of typing the search. SoundCV shows Gmail’s confirmation code on the page as soon as it arrives.

The filter matches emails from hiring systems such as Greenhouse, Lever, Workday, Ashby, SmartRecruiters, iCIMS, and Workable. It also catches subjects with “application” or “interview”. Everything else in your inbox, including newsletters and personal mail, stays where it is.

An email never moves an application backwards. A late confirmation cannot pull an interview back to Applied, and nothing overrides an accepted offer. The only exception is Rejected, because a rejection can arrive at any stage.

Most job seekers send two or three resume versions and never find out which one works. The tracker tells you.

Pick the resume you sent when you add or edit an application. Once replies come in, the tracker compares versions side by side. You see how many applications each one went out with and what share reached interviews.

Treat the numbers as a signal, not a verdict. A version needs about 10 applications before its interview rate means much, and the roles you target matter as much as the resume. You choose which emails the tracker sees

Email tracking works by forwarding, not by connecting your inbox. That keeps the rest of your email out of it.

No password, no inbox access

SoundCV never asks for your Gmail or Outlook password and cannot read your inbox. Only emails matched by your own filter or rule are forwarded, and you can switch the filter off at any time.

Only what the email means is kept

For each forwarded email, SoundCV keeps the sender, the subject, a short snippet, and what the email means for your application. The full message is not stored.

When the reader is unsure, for example a recruiter asking about availability, the email sits in a short review list. You mark it correct or not a job email, and only then does the tracker change.

How to keep track of job applications without losing any

If you are working out how to track job applications, the tool matters less than the habits. These six keep a search organised in any tracker, app, or spreadsheet.

Log the job the moment you apply

Add the company, role, job link, and date while the posting is still open in your browser. Postings often come down after a few weeks, so save the link and a copy of the description. Waiting until Friday to catch up is how applications go missing.

Name each resume version

Give every resume a clear name, such as “v2 – analytics focus”, and record which one you sent. Without that, you can never tell whether a rewrite helped. The tracker does the comparison once you pick the resume on each application.

Set a follow-up date for every application

If you have heard nothing after 7–10 days, a short, polite follow-up to the recruiter or hiring manager is reasonable. Put the date on the application so it surfaces on its own instead of relying on memory.

After each call, write down who you spoke to, what they asked, and what they said about next steps. Those notes are what you reread before the second round, and they help you write a sharper thank-you email.

Read your rejections for patterns

One rejection says little. Five rejections for the same kind of role usually point to a gap, such as a missing tool or too little seniority on the page. Use the likely-reason notes to decide what to change before the next batch.

Set aside 15 minutes each week. Close out applications that have gone quiet for three weeks, follow up on the ones that matter, and check your response rate. That review keeps your search moving without taking over your evenings.

Some company and school accounts block forwarding outside the organisation, so use a personal address for your job search if nothing arrives.

Do I have to give SoundCV my email password?+

No. SoundCV never asks for your Gmail or Outlook password and has no access to your inbox. Only the emails your filter forwards reach it. For each one it keeps the sender, the subject, a short snippet, and what the email means for your application, not the full message.

What happens if the tracker reads an email wrong?+

When SoundCV is not confident about an email, it does not change your tracker. The email waits in a short review list where you confirm it or mark it as not a job email. An email also never moves an application backwards, except to Rejected, and you can change any status by hand or by dragging the card.

Can I use it as a resume tracker to see which resume works?+

Yes. Pick the resume you sent on each application and the tracker compares them. It shows how many applications each resume went out with and what share reached the interview stage. After 10 or more applications per version, that comparison tells you which resume to keep sending and which to rewrite.

Should I use a spreadsheet to track job applications?+

A spreadsheet works well for the first 10–20 applications and costs nothing. It gets harder once replies start arriving, because every confirmation, invite, and rejection has to be copied in by hand. Can I track LinkedIn job applications too?+

Yes. Applications sent through LinkedIn usually trigger a confirmation email, and employers reply by email as well. Forwarded messages update those jobs like any other, so the tracker works as a LinkedIn job tracker too. You can also add a LinkedIn job by hand with its link, company, and role. SoundCV does not log in to LinkedIn or read your LinkedIn account.
