Tools for your university career center that show who is getting hired

Your university career center can give every student free resume, cover letter and job search tools, then follow each cohort in one workspace. See who is applying, who is interviewing, and who is placed, and send each student a weekly progress report.

  • Free ATS resume check for students
  • Each student gets a tracking address
  • Weekly progress report emails
  • Mark students placed as they accept

The problem

What does a university career center need to see?

A career center sees students at the start of their search and hears about outcomes at the end. The months in between are where students stall.

A typical graduating class moves through the same stages. Students get a resume review, pick a few target roles, apply for internships and entry-level jobs, then interview and accept an offer. Most career services for students are strong at the first stage and at the final outcome survey. What often goes missing is the week-by-week view of each student’s search.

Without that view, the students who need help are the hardest to find. A student who sent two applications in six weeks looks the same on paper as one who sent forty. A student with three interviews and no offer needs different support from one who has had no replies at all.

SoundCV gives your career team that middle view. Each student in a cohort gets a job tracker that fills itself from employer emails, and your team sees the whole class on one overview. Students keep using the free tools on their own, and you see how their search is going without chasing them for updates.

How it works

Run a graduating cohort from one workspace

Cohort management runs in the SoundCV agency workspace. Your team adds each student as a client, and every student gets their own tracker, resumes and email address.

1

Add the cohort

Create a workspace for your center and add each student as a client, with target roles, locations and a weekly application target.

2

Fix every resume

Build a resume with the student or upload the one they have. Run the ATS check and clear the fix list before applications start.

3

Connect their email

Each student adds one Gmail filter or Outlook rule that forwards job emails to their own tracking address. No passwords are shared.

4

Follow and report

Watch applications, interviews and offers on the cohort overview. Send progress reports, and mark students placed when they accept.

You can split the work across your team. Owners and managers see every student in the cohort, and appliers or advisers see only the students assigned to them. That fits a center where each adviser looks after one school, one program or one list of graduating students.

For your students

A resume builder for students, and every tool after it

Students can use SoundCV on their own, with or without a career center behind them. These are the tools they reach for, and what each one does.

Resume builder

Students build a resume from templates that ATS parsers can read, with help writing bullets for internships, projects and part-time jobs. Useful when the only resume they have is from high school.

ATS resume checker

Upload a PDF or Word resume and get a score out of 100 with a list of fixes, such as missing keywords or a layout the parser cannot read. The first scan needs no account.

Cover letter builder

Writes a cover letter from the student’s resume and the job description. Students edit it before sending, so the letter still sounds like them.

Career map

Draws 10 next roles from the student’s resume, each with a fit score, salary range, time to get there, skills they have, and skills to build.

Student job search

Search open roles by keyword and location, then filter by pay, job type, remote or on-site, date posted and country. Save jobs to come back to later.

Job tracker

A board and table of every application, with statuses from Saved to Accepted. Forwarded job emails add applications and move them along on their own.

Each tool links to the next. A student who checks their resume score can open the fix list in the builder, apply to a role from job search, and see that application appear in the tracker. You can send students straight to the free ATS resume checker at the start of term, or point them to the cover letter builder once applications begin.

If you are working out how to help students write resumes without booking an hour with each one, this is the order that works: builder, score, fixes, then a short review with an adviser. Resume help for students then scales with the size of the class, not the size of your team, and the career center software view shows you which students have moved on to applying.

A student’s personal SoundCV account and their record in your workspace are separate. That keeps their own drafts private, while the tracking address gives your team the application history you need for advising.

Career exploration

A career map, not just a career test for students

Many students arrive unsure what to apply for. A career test for students asks about interests; a career map starts from what the student has already done.

The student picks a resume and answers a few questions about their goals, work-life balance, income and the industries they like. SoundCV then maps 10 roles they could move into, each with a fit percentage, a salary range, how long it usually takes to get there, the skills they already have, and the skills to build.

For an adviser, that turns a vague “I don’t know what I want to do” into a short list you can discuss in one appointment. The first map is free, and it shows 5 of the 10 roles with full detail on the best-fit role.

Pair the map with the resume score. A student with an 84 on a marketing resume and a strong fit for Marketing Coordinator has a clear next step: apply to that title this week.

What your team sees for every student in a cohort

Pick a student from the client menu and the whole workspace switches to them. Pick All clients to see the cohort.

An overview of each student’s search

Applied, responses, interviews and offers in one pipeline, with the interview rate, applications with no reply after 21 days, and a timeline of recent activity. You also see which resume version gets interviews.

A job tracker per student

The same board and table your students know, with statuses Saved, Applied, Interviewing, Offer, Accepted and Rejected. Drag a card to change its status, or let forwarded emails do it.

A brief for each student

Record target roles, locations, remote or on-site, salary target, visa sponsorship needs, companies to avoid and a weekly application target. Set the student as active, paused or placed, and assign an adviser.

A cohort overview and review queue

See applications this week against each target, upcoming interviews, students without email connected, and students who need attention. Emails the system cannot read with confidence wait in Needs review.

Outcomes

How do you track student job outcomes?

The most accurate record of a job search is the student’s inbox. SoundCV reads the job emails a student forwards and updates their record.

Every student gets their own tracking address. They add one Gmail filter or Outlook rule, and only job emails are forwarded. An application confirmation creates an application, an interview invite moves it to Interviewing with the date, and a rejection is marked. Emails that are unclear wait for your team to confirm.

The student sees the same numbers you do. A progress-report email goes out on demand or every 7 days while the student is active, with this week’s numbers, upcoming interviews, and a link to a private, read-only progress page that needs no login.

When a student accepts an offer, mark them placed. They stop counting toward your active limit, and your cohort overview shows how many students from the class have been placed so far.

Guide

How can a career center help students find jobs?

Tools help only when they sit inside a routine. These six habits come from how successful searches are usually run.

1

Run resume reviews at scale with a score first

Ask every student to run an ATS resume check before they book a review, and to bring the score and fix list. Formatting and keyword problems are cleared before the meeting. Your advisers then spend the session on content, such as which internship to lead with.

2

Agree on two or three target roles

Students who apply for everything rarely hear back. A focused list of related titles, such as “Financial Analyst” and “FP&A Analyst”, makes resumes, cover letters and job searches sharper. The career map helps when a student cannot choose.

3

Set a weekly application target

A number turns “I should apply more” into a habit. Put the target in each student’s brief, and the cohort overview shows who is above it and who is below it this week.

4

Measure career readiness with signals you can see

Readiness is hard to measure from a survey. Instead, look for a resume that scores above 80 on the ATS check, a short target list, a steady application count and a first interview. Each signal points to the next piece of support a student needs.

5

Support graduating students’ job search after they leave

Many offers arrive after graduation day. Keep students active in the workspace through the summer, keep the weekly report going, and mark them placed when they accept. Your outcome numbers then come from records, not memory.

6

Help international students start early

Record sponsorship needs in the student’s brief, search by country, and focus on employers where sponsorship is realistic. Send students to your international student office for the rules on their own visa, as general job-search advice cannot replace that guidance.

Bootcamps and training providers

How do bootcamps track job placement?

Bootcamp career services work on a shorter clock. A cohort graduates together, and the months after demo day decide the placement rate.

Most bootcamps follow each graduate from the final week of the course until they accept a role. They need to know who is applying, who has interviews lined up, and who has gone quiet. That is exactly what the cohort overview shows.

Add each graduate as a client and set their target roles, such as Junior Developer or Data Analyst. Graduates forward job emails to their tracking address, and your career coaches see responses and interviews as they arrive. Follow-up drafts help with applications that have had no reply.

Training providers and workforce programs can run the same setup for any group of job seekers. The limits are the same too: up to 50 active clients on a paid plan, with placed graduates not counted.

Upcoming interviews

Interview invites add the date, so coaches can offer practice sessions before each one.

Follow-up drafts

Get a drafted follow-up email for applications that have had no reply, ready to edit.

Duplicate warnings

A warning appears when a graduate recently applied to the same company.

Placed, per graduate

Mark graduates placed as they accept, and see the cohort’s count grow.

Who it’s for

Career services for students, whoever runs them

SoundCV is a tool for the staff who run these programs. It is not a university career center itself, and it does not replace yours.

University career centers

Follow a graduating class or a group of students who asked for extra support, with an adviser assigned to each.

College career services

A single school or department can run its own cohort, such as business or engineering graduates, without a campus-wide rollout.

Bootcamp career services

Track every graduate from demo day to accepted offer, with weekly targets and reports.

Training providers

Workforce and reskilling programs can follow learners into entry-level jobs the same way.

Plans and limits

What cohort management costs, and where the limits are

Cohort management uses the same agency workspace that career coaches and job search services use, so the same limits apply. Students count as active clients until you mark them placed, and paused students still count. Dedicated plans for larger groups are coming soon, so if your cohort is bigger than 50 students, talk to us before you add them.

What SoundCV does not do for career centers

It helps to know the edges before you plan a rollout.

SoundCV does not connect to student information systems, learning platforms, campus sign-on or employer relations databases. Your team adds students to the workspace one by one, and there is no bulk import today. If a connection like this is essential for your center, tell us what you use when you contact us.

SoundCV is also not a job board run for your institution, and it does not host employer events or on-campus interview scheduling. It covers the student’s own search: resume, cover letter, career exploration, job search and application tracking, plus the cohort view for your team.

If you want to try the workspace yourself first, you can start free with up to 3 students and see the cohort overview before you talk to us about a larger group.

FAQ

Questions from career center teams

What tools do university career centers use?+

Most university career centers combine a job board or employer portal, an appointment scheduler, resume and cover letter tools, and a way to record outcomes, often a spreadsheet or a graduate survey. The gap is usually the middle: knowing where each student’s applications stand between the resume review and the outcome survey months later.

How can a career center help students find jobs?+

A career center helps most when it turns advice into a weekly routine. Get each resume to a clear ATS score, agree on two or three target roles, set a weekly application target, and review progress every week. Students who see their own numbers tend to keep applying, and staff can spot who has stalled early.

How do you track student job outcomes?+

Track the steps, not only the final result. Record applications, responses, interviews, offers and placements for each student as they happen. In SoundCV, each student forwards job emails to their own tracking address, so confirmations, interview invites and rejections update the record without the student filling in a form.

How do you run resume reviews at scale?+

Ask every student to run an ATS resume check before booking a review, and to bring the score and fix list with them. That clears formatting and keyword problems before the meeting. Staff then spend review time on content: which experience to lead with, how to describe internships, and which roles to target.

How do you measure career readiness?+

Pick signals you can observe. Useful ones are a resume that passes an ATS check, a short list of target roles, a steady weekly application count, and at least one interview. Measured per student and per cohort, these show who is ready to search, who needs a resume review, and who needs interview practice.

How do bootcamps track job placement?+

Most bootcamps track each graduate from the last week of the course until they accept a job, often for six months or more. They record applications, interviews, offers and the accepted role. In SoundCV, a bootcamp can add each graduate as a client, see the whole cohort on one overview, and mark students placed when they accept.

How can a career center help international students with their job search?+

Start earlier than for other students, because work authorization narrows the list of employers. Record each student’s sponsorship needs, search roles by country, and focus applications where sponsorship is realistic. Always send students to the international student office for rules on their own visa, since career advice cannot replace that guidance.

Are there free resume tools for students?+

Yes. On SoundCV, students can run an ATS resume check with a full score and fix list at no cost, with no account needed for the first scan. They can also start a resume in the builder, draw a first career map, and search jobs on the free plan. Some writing tools use credits.

How many students can a career center manage in SoundCV?+

Cohort management uses the SoundCV agency workspace, where each student is a client. A free trial covers up to 3 active clients, and a paid SoundCV plan on the owner’s account raises that to 50. Students marked placed do not count toward the limit. For larger cohorts, talk to us before you start.

Does SoundCV connect to our student information system?+

No. SoundCV does not connect to student information systems, learning platforms or campus sign-on today. Your team adds each student to the workspace, and students forward job emails to their tracking address. If your center needs a connection like this, contact us and describe what you use.
