How we handle your job emails

Email tracking works by forwarding, not by connecting to your inbox. Here is exactly what that means.

What we receive

Only the emails your Gmail filter or Outlook rule forwards to your tracking address. SoundCV never asks for your email password and never signs in to your inbox, so it cannot see anything you don't forward.

What we keep

For each forwarded email we keep the sender, the subject, a short snippet of up to about 280 characters, and what the email means for your application (for example “interview on 3 October”). The full email body is read once to work that out and is not stored. Emails that are not about a job are recorded as ignored, with the same minimal details, so we don't process them twice.

How emails are read

A filter first drops anything that is clearly not about a job. The text of the rest is sent to our AI provider, which classifies it and extracts the company, role and any interview time. When the model is not confident, nothing changes until you confirm it in the review queue.

Who can see it

Your own tracking data is visible only to you. In an agency workspace, a client's data is visible to the agency's owner and managers, and to the team members assigned to that client. A client portal link shows only statuses, dates and roles — never email contents or internal notes — and the agency can replace or turn it off at any time.

How to stop and delete

Delete the Gmail filter or Outlook rule and forwarding stops immediately. You can replace a tracking address so the old one no longer accepts mail. Deleting an application removes it and its timeline; deleting an agency client removes all of that client's applications, tracking address and received-email records.

Incoming mail is verified

Forwarded mail reaches SoundCV through Amazon's email service. Every delivery is checked against Amazon's signature before it is processed, so no one can post fake emails into your tracker.
