Career coach software that shows every client’s progress
Career coach software for the part of coaching that happens between sessions. Track each client’s applications from their job emails, improve their resume against a score, and send a weekly progress report with a private portal link. Your clients see the work, and you see who needs help.
- Private client portal, no login
- Weekly report sent for you
- Resume score for every client
- Applications tracked from email
What tools do career coaches use?
Most coaches run on a calendar, a video call app, a payment tool, and a shared document per client. That covers the sessions well. It rarely covers the job search itself.
Between sessions, your client applies, gets replies, and forgets half of them by the next call. You end up asking “How many did you send? Did anyone reply?” and rebuilding the picture from memory. Spreadsheets help until you have five clients and none of the sheets are current.
Career coaching tools built for the job search close that gap. SoundCV gives each client a tracker that updates from their employer emails, a resume you can score and improve together, and a report that turns the week into numbers. You spend the session coaching, not collecting data.
From first session to placement in four steps
Set a client up in about ten minutes. After that, the tracker and the report run on their own, and you step in where the numbers say you should.
Add the client and their brief
Target roles, locations, workplace, salary target, visa sponsorship, companies to avoid, and a weekly application target.
Build or upload the resume
Upload their PDF or Word file into an editable resume, or build a new one. Check the score and fix it together.
Track every application
The client forwards job emails to their tracking address. Applications, interviews and rejections update on their own.
Report every week
A progress report with this week’s numbers, upcoming interviews and a portal link goes to the client automatically.
Setup time is an estimate. It depends on how much of the brief you already have from intake.
Job search support for your career coaching packages
Add hands-on job search coaching to what you already sell, without adding admin. Each of these works per client, inside one workspace.
A job tracker per client
Board and table views of the client’s pipeline: Saved, Applied, Interviewing, Offer, Accepted and Rejected. Drag cards to change status, or let forwarded emails do it.
Resumes you can measure
Build a resume or upload the client’s own. The editor scores it and shows what to fix. Client resumes do not count toward your personal resume limit.
Job search for each client
Search open roles with filters for pay, job type, workplace and date posted. See match details, write a cover letter, or make a tailored resume copy for any job.
Auto Apply, if you apply for them
Fill employer application forms from the client’s resume and setup. You review and submit each one. 5 credits per sent application, refunded if it could not be sent.
Replies caught from email
Every client gets their own tracking address. Interview invites move applications to Interviewing with the date, and unclear emails wait in Needs review.
Reports that sell your work
A weekly email with the numbers, upcoming interviews and a portal link. Replies to the report come to you, so it doubles as a check-in.
Run weekly job search accountability without spreadsheets
Accountability works when the numbers are current and nobody has to compile them. The workspace keeps them current for every client.
A weekly target per client
Set applications per week in the client brief. The overview shows each client’s applied this week against their target, so a slow week is visible on Monday, not at the next session.
Who needs attention
The agency overview flags clients who need attention, clients without email connected, and applications with no reply for 21 days or more.
Interviews you can prepare for
Interview invites are caught with the date. Upcoming interviews appear on the overview, so you can book interview prep before the day, not after.
Follow-ups drafted for you
For applications with no reply, SoundCV drafts a follow-up email. You or your client edit it and send it, so good leads do not go quiet.
Resume help your clients can measure
Clients trust resume advice more when they can see it move a number, and then see it move their results.
Upload the client’s resume and the editor gives it a score with a list of fixes, such as bullet points without results, a summary that does not match the target role, or missing skills. Work through them together in a session, and the client watches the score climb as each edit lands.
The real test is the market. When a client sends applications with different resume versions, the overview shows which resume gets interviews. Keep the version that works, retire the one that does not, and let the tracker show the next round of results. For quick checks between sessions, point clients to the free resume score checker.
Example
Can clients see their job search progress?
Yes. Each client can have a private, read-only portal link that opens without a login.
The portal shows your agency name, the client’s target roles, applications this week against their target, replies, interviews, upcoming interview dates, and every application with its status. Clients can filter to active or closed applications, and they cannot change anything.
The progress report email carries the same numbers and a link to the portal. Send it on demand before a session, or switch on automatic sending every 7 days while the client is active. Replies to the report come to you, so it doubles as a weekly check-in.

Every coaching client in one workspace
Managing multiple coaching clients gets hard at about the point where your business starts to work. These habits keep it manageable.
Keep coaching separate from your own job search
The agency workspace is separate from your personal SoundCV account. Your own resumes and applications stay where they are, and client data stays in the workspace.
Switch clients from one picker
A client dropdown in the top bar switches the whole workspace to one client: their overview, tracker, resumes, jobs, Auto Apply, email setup, reports and settings. “All clients” takes you back to the overview.
Mark each client active, paused or placed
Pause a client who is travelling or between rounds, and mark them placed when they accept an offer. Placed clients do not count toward your active client limit.
Write the brief once, and use it everywhere
Target roles, locations, workplace, salary target, visa sponsorship and companies to avoid live in the client brief. Companies on the avoid list are never applied to.
Bring in help when you grow
Invite team members by email as Manager or Applier. Appliers see only the clients assigned to them, so a part-time assistant can apply for three clients without seeing the rest.
How should you price career coaching packages?
Price on what the client gets, not only on the hours you spend. Job search support makes that easier, because it produces work the client can see.
Start by listing what each package includes: number of sessions, resume and cover letter work, interview prep, a weekly application target, and how often the client gets a report. Then price it against coaches in your niche and region, and adjust after your first few clients rather than guessing up front.
Include your tool costs. SoundCV is free for up to 3 active clients, and a paid plan on your account covers up to 50. If you apply for clients with Auto Apply, each sent application uses 5 credits from your balance, so a weekly application target has a predictable cost you can build into the price.
Whatever you charge, set expectations honestly. Promise the work you control, such as applications per week and reports, not interviews or offers, which belong to employers.
Sessions only
Coaching calls and a shared tracker. The client applies, and the report keeps them accountable between calls.
Sessions plus resume work
Add resume rewrites measured with a score, versions per target role, and cover letters for top roles.
Done-with-you applications
You or your team apply with Auto Apply against a weekly target, and the client reviews the report.
Interview-ready add-on
Interview prep booked as soon as an invite is caught, with the company and date already in the tracker.

If your career coaching services include the job search, not only the career decision, the workspace fits.
Career change coaches

Questions from career coaches
What is the best software for career coaches?+
It depends on what you coach. Scheduling and payment tools run the business side, while job search coaching needs something that tracks each client’s applications, resumes and interviews. SoundCV covers the job search side: a tracker per client that updates from employer emails, resume building, job search, Auto Apply, and weekly client reports.
How do I track my clients’ job applications?+
Give each client their own tracker. In SoundCV, every client gets a tracking email address; they set up one Gmail filter or Outlook rule that forwards job emails to it. Confirmations create applications, interview invites move them to Interviewing with the date, and rejections are marked. Anything unclear waits for your review.
How can I show coaching clients their progress?+
Share numbers they can check without asking you. SoundCV gives each client a private, read-only portal link with no login, showing applications this week against their target, replies, interviews and every application’s status. You can also email a progress report on demand or automatically every 7 days while the client is active.
Do clients need an account to see their job search progress?+
No. The client portal is a private link that opens without a login. It is read-only, so clients can see their applications and interviews but cannot change anything. You can create a new link at any time, which stops the old one working, or turn the portal off for that client.
How do I add job search support to my coaching packages?+
Define the support as work you can show: a weekly application target, resume versions, tailored cover letters, and a weekly report. Set the target and the client’s brief in SoundCV, then track progress against it. The weekly report makes the added service visible, which helps clients understand what the package includes.
How should I price career coaching packages?+
Price on scope and outcome rather than hours alone. List what each package includes, such as sessions, resume work, weekly application targets and reports, and account for tool costs like Auto Apply credits. Compare with coaches in your niche and region, and review your prices after your first few clients.
How do I manage multiple coaching clients?+
Keep every client in one workspace with a clear status. SoundCV lets you switch between clients from one picker, mark each one active, paused or placed, and see all clients on one overview with applications this week against target, interviews coming up, and who needs attention. Team members can be assigned to specific clients.
How can I help clients with their resumes?+
Start from a measurable baseline. Upload the client’s PDF or Word resume into an editable resume, check the resume score, and fix what it flags, such as missing metrics or keywords. Keep one version per target role, then use the tracker to see which version actually gets interviews.
Is SoundCV free for career coaches?+
You can start free with up to 3 active clients. A paid SoundCV plan on your account raises that to 50 active clients, and clients marked as placed do not count toward the limit. Auto Apply uses 5 credits per submitted application from your balance, refunded automatically if an application could not be sent.
Does SoundCV handle scheduling, invoicing or session notes?+
SoundCV does not book sessions or send invoices, so keep your calendar and payment tools for that. Each client does have a brief with target roles, locations, salary target, companies to avoid and a notes field. SoundCV focuses on the job search between sessions: applications, resumes, interviews and reports.
