SUMMARY
Reporting to the Director of Human Resources, the incumbent will be responsible for assisting with human resources-related activities and providing administrative support to the Department. During the first few weeks, the incumbent will contribute to reducing the backlog of files.
MAIN FUNCTIONS
- Perform administrative tasks such as filing, drafting reports, etc.;
- Respond to questions and inquiries from staff, faculty, and the general public;
- Draft letters, staff communications, or other documents related to human resources;
- Participate in numerous varied human resources files and/or projects and perform follow-ups;
- Support the staffing process for assigned positions (selection, hiring, contracts, and follow-up);
- Support the hiring and re-hiring of employees in the Workforce Now (HRIS) system and provide system access to employees;
- Ensure the updating of human resources data in the Workforce Now (HRIS) system;
- Support the Compensation and Benefits Advisor with reconciliations and research in physical files or systems as needed;
- Prepare, develop, and/or update various reports using the HRIS, Excel, and online reporting tools;
- Maintain various tables such as position classification, contracts, etc.
EDUCATION, EXPERIENCE, AND KNOWLEDGE
- Post-secondary education in administration or a similar field plus a minimum of one (1) year of experience in human resources, or a combination of education and experience deemed equivalent
- Bilingualism required (French and English)
- Customer service experience
- Experience with ADP or any other integrated human resources system is a significant asset
- Good command of software (Microsoft Office, Excel, email, Internet, Adobe Acrobat)
- Strong communication skills and excellent interpersonal skills
- Availability and flexibility to respond to emergency situations
- Ability to set priorities and excellent time management skills
- Ability to work in a team
- Sense of initiative, autonomy, and organization
- Good judgment, and ability to demonstrate tact and discretion
- Attention to detail
- Professionalism - capable of maintaining the confidentiality of employee data
