About the team

The Waste Partnerships team plays an important role in supporting the City’s waste and resource recovery services through effective contract management, governance and commercial partnerships.

Working closely with the Waste and Resource Recovery team and a range of internal and external stakeholders, the team supports the delivery of significant waste and resource recovery agreements and ensures contractual arrangements are effectively managed throughout their lifecycle.

You’ll be part of a collaborative team where strong contract administration, governance and stakeholder relationships are essential to delivering reliable services and achieving positive outcomes for the City and the Gold Coast community.

About the role

As the Contract Administration Lead, you’ll lead contract administration, documentation and governance activities across key waste and resource recovery agreements.

Working closely with the Waste and Resource Recovery team and delivery partners, you’ll provide practical guidance on contractual requirements, coordinate internal processes and help ensure agreements are administered effectively and in line with City policies and contractual obligations.

This is a hands-on role that combines contract administration, governance, stakeholder engagement and team leadership. You’ll have the opportunity to work across a range of contractual matters, support effective decision-making and contribute to the ongoing improvement of contract management practices.

You’ll be responsible for:

  • Leading contract administration activities for key waste and resource recovery agreements, including developing and maintaining internal resources and processes.
  • Managing contractual governance activities, including reporting, oversight meetings and follow-up actions.
  • Ensuring contractual arrangements are administered in accordance with City policies, governance requirements and agreement obligations.
  • Preparing and maintaining contract documentation, including variations, registers, correspondence, meeting records and other contractual records.
  • Contributing to contract management activities, including negotiating scope and cost items and facilitating contractual processes.
  • Providing advice and guidance to internal teams on contract-related technical enquiries, requirements and processes.
  • Building and maintaining strong working relationships with the Waste and Resource Recovery team, internal stakeholders and delivery partners.
  • Coordinating internal business processes associated with contractual arrangements.
  • Supporting the preparation of timely and accurate reports on contract status, performance and key issues for stakeholders.
  • Identifying opportunities to improve contract administration, governance and supporting processes.

We’re looking for people who have:

We’re looking for an experienced contract professional who can confidently manage the detail of complex contractual arrangements while building strong relationships with stakeholders and delivery partners.

You’ll bring:

  • A minimum of 5 years’ experience in contract administration and/or contract management roles.
  • Demonstrated experience coordinating and administering complex contractual arrangements.
  • Experience leading, supporting and developing team members, with the ability to provide clear direction and guidance.
  • Strong understanding of contract documentation, governance, reporting and compliance requirements.
  • Experience interpreting contractual terms and providing practical advice to stakeholders.
  • Strong written and verbal communication skills, with the ability to build effective relationships across internal teams and external delivery partners.
  • Strong organisation and attention to detail, with the ability to manage multiple contractual activities and competing priorities.
  • A proactive approach to identifying issues, resolving problems and improving contract administration processes.
  • A relevant Bachelor’s degree in Business, Commerce, Engineering, Law or equivalent knowledge and experience.
