About the team

The Chief Procurement Office plays an important role in supporting the City's operational and strategic objectives. Our Procurement team provides expert advice, strategic direction and sourcing solutions across a diverse range of goods, services and projects.

We're a collaborative and supportive team that works closely with stakeholders across the City to deliver value, strong governance and great outcomes for our community.

About the role

As a Sourcing Administration Officer, you'll play an important role in supporting our team of procurement professionals by providing high-quality sourcing and administrative support.

This is a varied role where no two days are the same. You'll assist with lower-risk procurement activities, support sourcing pipelines, help coordinate tender documentation and evaluations, and provide administration and customer service support to internal stakeholders.

Working as part of a professional and collaborative team, you'll have the opportunity to build your knowledge of procurement while developing valuable skills across sourcing, administration, systems and stakeholder engagement.

In this role you will:
  • Support lower-risk sourcing and procurement activities.
  • Develop and deliver Sourcing Strategies
  • Assist with managing and maintaining the sourcing pipeline.
  • Coordinate and collate tender documentation and support evaluation activities.
  • Monitor shared mailboxes and allocate enquiries to the appropriate team members.
  • Assist with market research, reporting and supplier feedback.
  • Format reports, procurement documentation and other team materials.
  • Coordinate meetings with internal and external stakeholders.
  • Create and maintain supplier and party information within relevant City systems.
  • Assist with SAP contract catalogue creation and maintenance.
  • Use a range of corporate systems including Open Windows, SAP, Objective, Adobe, Outlook, Word, Excel and SharePoint.
  • Support the delivery of procurement services in line with the City's Procurement Policy and Contract Manual.
  • Provide high-quality customer service to internal clients and stakeholders.

Experience or knowledge of procurement, including sourcing, quotes, tenders, logistics or procure-to-pay activities, will be highly regarded.
