Position Summary
The Global Immersions Administrator is responsible for the strategic development, administration, and continuous improvement of faculty-led global education programs within Rice Global. Reporting to the Student Programs Manager within Rice Global, this position partners with faculty, academic departments, campus stakeholders, and international organizations to develop and administer high-quality international experiences that advance institutional goals for global engagement and student success.
The position provides comprehensive oversight throughout the program lifecycle, including program development, budget planning, risk management, student advising, operational logistics, and assessment. The Administrator serves as the primary resource for faculty leading international programs and ensures compliance with university policies, health and safety standards, and applicable international regulations.

Workplace Requirements
The role may require occasional evening and weekend work to support recruitment events, information sessions, emergency response activities, and program operations. Periodic international travel may be required for site visits, program development, risk assessment activities, and support of faculty-led global programs.
Workplace Location
Hybrid position: This position is offered as a hybrid role, combining both in-office and remote work to provide flexibility and support collaboration. Employees are expected to work on campus several days each week, as determined by departmental needs and university guidelines. Per Rice policy 440, work arrangements may be subject to change.
Essential Remote
This role is classified as an Essential Remote Position. During declared emergencies or crisis events, the incumbent is required to continue duties remotely to ensure business continuity. Employees in this role must remain accessible to leadership, support critical departmental functions, and maintain operations until normal on-site activities resume.
Annual Hiring Range: $70,000 – $75,000*Exempt (salaried) positions underFLSAare not eligible for overtime.
Minimum Requirements

Three or more years of professional experience working in a higher education setting or a related student support setting.

Essential Functions
-
Leads the administration and coordination of faculty-led global programs, supporting all phases of program development, implementation, assessment, and continuous improvement.

Manages the faculty-led program proposal and selection process, including annual calls for interest, application review workflows, communications, and program lifecycle tracking.

Serves as a primary advisor and operational partner to faculty developing global immersion experiences, providing guidance on program design, implementation, budgeting, logistics, and university requirements.

Develops and manages program budgets, financial processes, billing activities, fee administration, expense monitoring, reconciliation, and associated reporting.

Oversees student-facing program administration, including communications and the application process.

Coordinates international travel planning and program logistics, including vendor and provider relationships, accommodations, transportation, site visits, itinerary development, and operational readiness.

Supports implementation of health, safety, risk management, and emergency preparedness procedures and ensures compliance with university travel policies and international travel requirements.

Develops and delivers faculty, student, and staff training resources related to global immersion participation, travel preparation, cultural engagement, compliance, and safety practices.

Collaborates with university offices to coordinate financial aid considerations, student support services, health and well-being resources, risk management activities, and other institutional processes supporting global programs.

Prepares operational analyses, program assessments, participation metrics, and reports to support strategic planning and program effectiveness.

Recommends and implements process improvements that enhance program quality, efficiency, accessibility, and risk mitigation.

Manages outreach and communications activities that promote faculty-led global opportunities and support recruitment and engagement efforts among students and faculty.
Additional Functions

Assists with the development and maintenance of centralized resources, templates, forms, training materials, and guidance documents related to international student travel and faculty-led programming.

Supports benchmarking, assessment, and implementation of best practices in global learning, student mobility, and international program administration.

Participates in university committees, working groups, and special projects related to global engagement, student success, international travel, and academic innovation.

Supports site visits, program evaluations, and ongoing relationship management with international partners and service providers.

Performs all other duties as assigned.
