About the role

We are seeking a highly organised, proactive, and professional Executive Assistant to provide comprehensive administrative, operational, and strategic support to the Managing Director and Senior Leadership Team.

This is a pivotal role that requires exceptional organisational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced environment. As the central point of coordination and support for the leadership team, you will play a key role in ensuring the smooth day-to-day operation of the business through effective diary management, stakeholder engagement, travel coordination, event planning, and executive support.

What role will involve

  • Link tactical issues that greatly affect morale and culture to the SLT who can act accordingly to resolve.
  • Fully responsible for travel policy adherence and travel arrangement inc all aspects of budget management for that activity
  • High-level administrative, operational, and strategic support to enable the MD to operate efficiently and focus on key business priorities
  • Managing schedules, communications, stakeholder coordination, confidential information, and executive logistics while acting as a central point of organisation and support.
  • Assisting with prioritisation, problem-solving, and ensuring effective day-to-day business operations on behalf of the MD
  • Diary management for the business, particularly the MD and SLT – 8 peoples diaries, 12 monthly management meetings, 12 Business reviews (Div), 40+ PMRs, multiple 1-2-1s, 25+ functional reviews,
  • Plan, organize and ensure the successful execution of events such as gate reviews, executive meetings, business events, customer visits, staff engagements and culture / morale building activities. ~17 gate reviews, 12 staff engagements, 15+ customer visits
  • Travel booking for the business, ensuring compliance with L3H policy, management of itineraries, flights, accommodation and car hire.  Act as a specialist and liaise with BCD ensuring VfM from their service. – Budget of ~$100k inc project travel.
  • Manage facility provisions and support external contractors who provide services such as cleaning products, consumables, minor repairs, HSE activities, facility changes (staff moving around for operational reasons).  Weekly purchases and 15 to 20 contractor actions per year
  • Overall action management for the business, ensuring completion, updates and all aspects are within the agreed timescales.  Member of the “GS2AUS Works Council”, an employee run forum which aims to develop a positive business culture. ~50 actions per year, 12 council meetings with responsibility to liaise and close actions related to the SLT
  • Manage and ensure timely completion of all SLT expenses claims ensuring accuracy in completion and adherence to L3H policies. – expenses total of ~$10k / month
  • Manage CRM in support of the BD function ensuring updates and owners’ actions are completed. – monthly update to 30+ entries

Preferred Additional Skills:

  • Dangerous Goods qualifications (IATA/DGR)
  • Quality driven with an analytical nature
  • Capable of periods of autonomous work without requiring direct supervision
