Overview

You will join the Building Services Team of the Accounting and Administration Department of Intesa Sanpaolo London Branch, supporting the Head of Building Services in the management of the Bank’s premises and related operational activities. You will be responsible for assisting in building services processes, monitoring maintenance activities, supporting budgeting and procurement activities, managing supplier interactions, and ensuring compliance with building, health and safety, and internal regulatory requirements.

What you’ll be doing

Key will be:

  • Support the Head of Building Services in the daily management of the Bank’s premises and facilities
  • Process building-related orders, invoices, contract tenders and budget documentation
  • Assisting with  maintenance activities, inspections and audits across offices and common areas
  • Maintain and update the fixed asset register
  • Liaise with suppliers and contractors, monitor service delivery and resolve operational issues
  • Administer security access processes, including the issuance of passes and related records
  • Investigate and support the resolution of building-related incidents and operational problems
  • Assist with records management and archiving activities
  • Liasing with Head Office Real Estate teams on standards, reporting and strategic initiatives
  • Verify contractor compliance with health, safety and regulatory requirements.

Who we are looking for

  • At least 6 years of relevant professional experience are required
  • NEBOSH Health & Safety qualification
  • Advanced Microsoft Office proficiency, including Excel, Word and PowerPoint
  • Knowledge of building services, facilities management and workplace operations
  • Knowledge of UK Health & Safety, Fire Safety and Building Regulations
  • Asset register administration and supplier management knowledge
  • English language proficiency at CEFR C1 level or above
  • General administrative and procurement support capabilities
  • Preferred: Italian language knowledge.
