About The Role

We have an exciting opportunity for a Secretary to join our Commercial Property Team in our Leicester office.

The person in this role is responsible for providing an efficient secretarial and administrative service to fee earners in the Commercial Property team. A Legal Secretary will be a collaborative team player with a strong work ethic and the ability to communicate effectively with colleagues, clients and external contacts. The person should have a good level of IT literacy and be confident learning and using the systems and software required to support commercial property matters. The main include:

  • Providing accurate and timely secretarial and administrative support;
  • Communicating professionally with fee earners, clients and external contacts; and
  • Preparing and completing correspondence, legal documents and property-related forms.

**Duties and **

As a Legal Secretary in the Commercial Property team, the role will include a range of secretarial and administrative duties to support fee earners and the smooth progression of property matters. Day-to-day duties can include:

  • Creating and amending documents, including copy typing, formatting, producing new versions and tracking changes against previous versions;
  • Accurate typing from digital dictation and preparing correspondence, reports, leases and other property-related documents;
  • Answering telephone calls professionally, taking accurate messages and dealing courteously with clients and external contacts;
  • Opening, maintaining and closing client and matter files, including filing correspondence and documents accurately;
  • Managing fee earner diaries, arranging meetings and supporting meeting logistics when required;
  • Carrying out administrative routines, including scanning, printing, photocopying and preparing documents for signature;
  • Supporting property transactions with searches, Land Registry and Companies House documentation, Stamp Duty Land Tax returns, completion paperwork and post-completion administration, as directed by the fee earner;
  • Liaising with clients, agents, solicitors and other third parties to obtain information and provide administrative updates; and
  • Supporting fee earners with time recording, accounting and billing processes, including managing routine queries.

Clients

Legal Secretaries are required to liaise with clients and external contacts regarding administrative activities and support enquiries on behalf of fee earners. It is important to build effective working relationships with fee earners, clients and contacts. To achieve this, a Legal Secretary must:

  • Deliver practical services of outstanding quality that are focused on clients' needs;
  • Prepare accurate correspondence and property-related legal documents for clients and other parties; and
  • Deal appropriately with client enquiries in the absence of the fee earner, escalating where necessary.

Technical Competencies

  • Excellent organisational, time management and problem-solving skills
  • Strong written and verbal communication skills
  • High level of IT literacy and confidence using document management and case management systems
  • Ability to prepare and manage legal documents accurately, including property-related forms and correspondence
  • Strong attention to detail, accuracy and the ability to manage competing priorities
  • Previous legal secretarial experience is desirable; commercial property experience would be an advantage
